vouch · verb · to trace a ledger line back to the paper that proves it
Every line in your books, with the receipt attached.
Your team snaps a photo. Vouch reads the receipt, works out which card paid, codes it to your chart of accounts, matches it against the statement, and files it in QuickBooks with the image attached. The month-end scramble stops being a project.

What the shoebox costs
Three leaks, every single month.
~30 days
The receipt sits in a pocket
It fades, it goes through the wash, it never arrives. By the time anyone asks for it, the person who spent the money cannot remember the meal, let alone who was at it.
$0 back
The input tax credit is forfeited
No receipt, or a receipt with no GST/HST registration number on it, means no claim. Every purchase over $30 that goes missing is money the CRA keeps.
1 full day
One person reconciles everyone
Collecting paper from many people, matching it to a statement line by line, and keying it into QuickBooks. It does not scale past a handful of cards.
How it works
Six stages. Your team is only in two of them.
Every stage can be retried on its own. A failure in reading a receipt never loses the photo, and a failure in the QuickBooks push never loses the expense.
- 01Cardholder
Snap it
The app opens straight to the camera. The shutter fires the moment you press it — the photo is saved on the phone first and uploads on its own. Underground parkade with no signal still works.
- 02Automatic
Vouch reads it
Merchant, date, totals, each tax line, the tip, the GST number, and the last four digits of the card that paid. Faded thermal paper is straightened and sharpened before anything tries to read it.
- 03Automatic
It finds the card
Printed last four first, then an unmatched statement line, then the cardholder's only card, then what that person usually pays with at that kind of merchant. Vouch records which of those answered, so you can see why.
- 04Automatic
It codes it
Against your real QuickBooks chart of accounts, never an invented category. Recode Esso once and every Esso receipt after it follows.
- 05Automatic
It checks itself
Do the parts add up to the total? Is that tax rate possible in that province? Is this a duplicate? Over $30 with no GST number, so the credit cannot be claimed? Anything that fails goes to a person.
- 06Bookkeeper
It closes the month
Import the statement and Vouch sorts every charge into matched, missing a receipt, or an orphan — then chases the missing ones itself. Lock the period and push to QuickBooks with the image attached to each entry.
What it does
Built for the person who does this by hand today.
Capture that never blocks
The shutter writes to the phone, not to the network. Photos queue offline and upload themselves when signal returns.
Reading you can audit
Every extraction stores the model, the prompt version, and a confidence score per field. Corrections are kept beside the original so accuracy is measured, not assumed.
Reconciliation in three buckets
Matched, missing a receipt, and orphan. The statement is the only thing that proves you have everything, so it is the thing Vouch reconciles against.
It chases people for you
A charge with no receipt tells Vouch who spent it. That person gets the merchant, date, and amount, then a reminder, then a weekly digest. Nobody has to walk around asking.
No card numbers, ever
Last four digits only, everywhere. That keeps Vouch out of PCI-DSS scope. Every change is written to an audit log with who, when, and the before and after.
An export that works alone
Any month as a ZIP: an Excel index, a per-card PDF summary, and every image named so it sorts. Nothing here depends on Vouch still existing.
